Terms of Service

These terms are between Colson Studio Ltd and you, acting in your capacity as a freelance photographer, digital technician, lighting assistant, camera operator, DoP, or similar production professional ("you"). Silo is a business tool intended for professional use; it is not offered to consumers acting outside a trade, business, or profession.
1. The service
Silo provides job-management tools for freelance creative professionals: booking tracking, kit checklists, call-sheet ingestion, overtime/rate calculation, and invoice generation into your own Xero account. Functionality may change as we improve the product; we'll give reasonable notice of any change that materially reduces what you can do with it.
2. Your account
You're responsible for keeping your login credentials secure and for all activity under your account. Tell us immediately at [email protected] if you suspect unauthorised access.
3. Your data, your responsibility
- You are the data controller for all client, job, and production data you put into Silo. You're responsible for having a lawful basis to process that data (e.g. your clients' contact details), and for your own obligations to them.
- You are responsible for the accuracy of day rates, hours, and other figures used in overtime and invoice calculations. Silo applies the APA and BECTU rate models as configured, but you should check generated figures before invoicing.
- You're responsible for maintaining your own connected third-party accounts (Google, Microsoft, Dropbox, Xero) in good standing. If a connection breaks (expired token, revoked access), some Silo features will stop working until you reconnect.
4. Subscription, trial, and billing
- New accounts get a free trial covering your first 3 jobs, with full feature access and no card required to start.
- Once you've used your trial jobs, continued use requires an active paid subscription. The Founder plan is £2.99/month or £30/year, billed in advance via Stripe.
- You can cancel at any time from your account settings; cancellation takes effect at the end of the current billing period, and you won't be charged again after that.
- No refunds for partial billing periods. At our discretion, we may issue a pro-rata refund in exceptional circumstances (e.g. extended service outage attributable to us) — contact [email protected].
- Cancelling your subscription puts your account into a read-only/limited state; it does not delete your data. Deleting your account is a separate, explicit action (Account Settings → Delete Account) and is immediate and irreversible — see our Privacy Policy, Section 6.
- We may change subscription pricing with at least 30 days' notice before it applies to you.
5. Acceptable use
Don't use Silo to:
- Upload or forward content you don't have the right to share (including third parties' personal data you're not lawfully entitled to process)
- Attempt to access another user's account or data
- Abuse the inbound email address, AI assistant, or API for spam, scraping, or automated abuse
- Reverse-engineer or resell the service
We may suspend or terminate accounts that breach this section, with notice where practicable.
6. Third-party services
Silo integrates with Google, Microsoft, Dropbox, and Xero via services you connect yourself. Your use of those services is governed by their own terms, not ours. We're not responsible for their availability, accuracy, or any changes they make to their own products.
7. AI-generated content
Call-sheet extraction and invoice-note drafting are AI-assisted and may occasionally be inaccurate or incomplete. Review AI-generated content before relying on it, particularly figures affecting pay or invoicing.
8. Availability
We aim for high availability but don't guarantee the service will be uninterrupted or error-free. We're not liable for losses arising from downtime, except where caused by our negligence.
9. Liability
To the extent permitted by law:
- Our total liability to you for any claim arising from these terms or your use of Silo is limited to the amount you've paid us in the 12 months before the claim arose.
- We're not liable for indirect or consequential losses, including lost income from an inaccurately calculated invoice, except to the extent caused by our negligence or breach of these terms.
- Nothing in these terms limits liability that cannot be limited by law (e.g. for death, personal injury, or fraud).
Colson Studio does not currently hold professional indemnity or cyber insurance. If that matters to your engagement decisions, factor it in.
10. Termination
Either party may terminate at any time as described in Section 4. We may also terminate immediately for breach of Section 5, or if required by law.
11. Governing law
These terms are governed by the laws of England and Wales, and any dispute is subject to the exclusive jurisdiction of the courts of England and Wales.
12. Changes
We may update these terms from time to time. We'll notify you by email of material changes; continued use after the change takes effect means you accept the updated terms.
